The short answer

What does a medical marketing agency do?

A medical marketing agency helps a practice attract, answer and book the right patients. That covers a fast website patients trust, Google Ads and Google Maps visibility for your specialty, steady reviews, an AI receptionist and follow-up so no call goes unanswered, and privacy-conscious tracking that shows which efforts book appointments. ProWay Digital builds and runs that system for practices in Fort Lauderdale, Miami and across South Florida.

Sound familiar?

Good medicine, empty slots.

If any of these sound like your practice, you're leaving patients on the table.

  • Patients call after hours or during lunch, hit voicemail and book with the next practice on Google.
  • Your website looks fine on a desktop but is slow and confusing on the phone patients actually use.
  • You pay for Google Ads every month and can't say how many of those clicks became appointments.
  • New patient forms come in by email, sit in a shared inbox and get answered the next day, if at all.
  • A competitor across town with fewer years in practice shows up above you on Google Maps.
  • You've heard tracking pixels can create HIPAA problems, so you either avoid measuring or hope it's fine.

What we do

One system, from first search to booked visit.

One in-house team, in your accounts and under your name, focused on booked patients.

  • A website patients trustFast, mobile-first pages for each service and condition, real doctors and real photos, and a clear way to book or call from every screen.
  • Google Ads that book visitsCampaigns built around the treatments you want more of, with budgets moved toward the searches that turn into appointments, not just clicks.
  • Found on Google and MapsA complete Google profile for every location and search work for your specialty. Our medical SEO page goes deeper on this part.
  • Reviews that keep comingSimple requests after visits, so your rating stays current and new patients see what your existing ones already know.
  • An AI receptionist and fast follow-upCalls and messages answered day and night, questions handled, appointment requests captured and sent to your team, with texts that follow up when someone doesn't book.
  • Intake and tracking you can stand behindOnline intake that reaches the right person quickly, and HIPAA-conscious reporting that shows which channels book patients without sending health details to ad platforms.

The details

What actually brings patients through the door.

Three things most practices are missing, and what to do about each.

Marketing is the whole path, not one channel

Most practices buy marketing in pieces: a website from one company, ads from another, SEO from a third, and a front desk left to sort out the results. Each piece can look fine on its own report while patients still slip away between them. A patient searches for a sleep doctor or a dentist, sees an ad or a Maps listing, reads a few reviews, lands on your site and either calls, fills out a form or leaves. Every step is a chance to lose them. A good medical marketing agency looks at that path end to end. Does the ad promise what the page delivers? Can a patient book in under a minute on a phone? Does someone answer within minutes? Does anyone follow up if they don't book? Fixing the weakest step usually does more for your schedule than spending more on the strongest one.

Speed at the front desk decides who gets the patient

A new patient who calls three practices will usually book with the first one that answers and makes it easy. Your front desk is checking people in, handling insurance and answering existing patients, so new callers often wait or reach voicemail, especially at lunch, after five and on weekends. That's where an AI receptionist earns its place. It answers every call and message, responds to common questions about location, hours, insurance and services in your words, captures the appointment request and hands it to your team with everything they need. It doesn't replace your staff or give medical advice; it makes sure nobody waiting to become a patient is ignored. Pair it with text follow-up for people who asked but didn't book, and the patients you already paid to attract stop disappearing between the first call and the first visit.

Tracking results without putting patient privacy at risk

Practices need to know which ads and searches bring in patients, but healthcare tracking carries real risk. In December 2022 the HHS Office for Civil Rights issued a bulletin warning that tracking pixels and similar tools on healthcare websites can disclose protected health information to companies like ad platforms, and updated it in March 2024. In June 2024 a federal court in Texas, in American Hospital Association v. Becerra, vacated part of that guidance covering public, unauthenticated pages, but the rest of the bulletin still stands, and patient portals and intake forms deserve the most care. The practical answer is to measure outcomes without shipping health details anywhere they shouldn't go: no ad pixels on portals or forms, conversion data stripped of anything clinical, and call tracking that reports sources, not symptoms. We set it up that way and work alongside your compliance advisor, not in place of one.

Questions

What practices ask us first.

Straight answers. Ask us anything else on a call.

What's the difference between medical marketing and medical SEO?

Medical SEO is one part: showing up on Google, Google Maps and AI assistants. Medical marketing is the whole system around it, including your website, Google Ads, reviews, how calls and forms are answered, follow-up and tracking. Many practices start with one and add the rest.

Is your marketing HIPAA compliant?

We build HIPAA-conscious systems: no ad pixels on patient portals or intake forms, no health details sent to ad platforms, and tools chosen with patient privacy in mind. We work with your compliance advisor; we don't replace legal advice.

Will an AI receptionist give medical advice to patients?

No. It answers practical questions like hours, location, insurance and services in your words, captures appointment requests and passes anything clinical to your staff. You approve what it says before it goes live.

Can you guarantee we'll rank first on Google?

No honest agency can, and you should be wary of any that does. What we commit to is the work that moves rankings and bookings, and a monthly report that shows exactly what's changing.

Do you only work with practices in South Florida?

Our home base is Fort Lauderdale, and most of our practices are in Broward, Miami-Dade and Palm Beach, where we know the market best. We also work with practices elsewhere.

How is it priced?

Every plan is built around your practice, your specialty and your goals after a free audit. Monthly, with no long contracts and no fixed packages.
